The agency runs on a system — not on memory

For service providers and agencies — marketing, consulting, design, bookkeeping — professional time is the product, and every hour of admin is an unbilled hour. AB Sync builds service businesses in Israel one synced system: a lead enters the CRM, the quote goes out and gets signed digitally, the meeting books itself, and the client sees everything in an up-to-date portal.

Where does the time leak in a service business?

Usually not in the work itself but around it: chasing leads that did not answer, writing every quote from scratch, scheduling meetings in message ping-pong, updating the client on "where the project stands", and chasing unpaid invoices. Each of these can be fully or partly automated — and the combined saving is typically a full working day per week.

What does an agency look like after syncing?

A new enquiry from the site or WhatsApp opens as a lead with its source and a follow-up task. A quote is built from a template, sent, and follow-up reminders go out on their own until it is signed. The client picks a meeting slot from a smart calendar. The project runs on a board the client can see, and the invoice goes out automatically at each milestone. Your team does the work — the system does the operations.

Example automations we build

  • HubSpot Automatic lead management

Every enquiry enters the CRM with its source, status and an automatic follow-up task.

  • Gmail Quotes and signatures

A quote goes out, gets signed digitally and chases its own follow-up reminders.

  • Google Calendar Smart scheduling

The client picks a free slot and automatically receives confirmation and a calendar invite.

  • Notion Synced client portal

Documents, project status and invoices in one place that updates itself.

Frequently asked questions

We work with Notion / Monday / HubSpot. Will you replace everything?

The opposite — we use what already works. Those tools are excellent; what is usually missing is the connections between them and the automation around them. We replace a tool only when it truly is the weak link.

Every client of ours is different. Will automation make us generic?

The automation handles what is identical anyway — intake, scheduling, reminders, billing — and frees time for exactly the part where you are not generic: the professional work and the personal relationship.

A client portal — is that not too complicated for our clients?

A good portal is one link where the client sees status, files and invoices — no convoluted passwords, no training. Clients tend to love it: fewer "what is happening with…?" phone calls.

What does it cost to set up?

A base package — connected CRM, automatic quotes and scheduling — is a project of a few thousand shekels. A client portal and full system scale with scope. We always start with what hurts most.
